Terms & Conditions

1. Acceptance of terms
By registering for, accessing or using the SalonHub platform at salonhub.co.za(“the Platform”), you agree to be bound by these Terms & Conditions (“Terms”). If you do not agree, you may not use the Platform.
These Terms constitute a binding agreement between you (“Salon Owner”, “User”, or “you”) and SalonHub (“we”, “us”, or “our”). These Terms are governed by the laws of the Republic of South Africa.
2. Description of service
SalonHub provides a cloud-based salon management platform that includes:
- A public online booking page for your clients
- Appointment scheduling and calendar management
- Client directory and visit history
- WhatsApp and SMS appointment reminders
- Staff scheduling and service management
- Business analytics and revenue reporting
- Subscription billing via PayFast
We reserve the right to modify, suspend or discontinue any feature of the Platform at any time with reasonable notice to subscribers.
3. Registration & account
To use SalonHub, you must:
- Be at least 18 years of age
- Provide accurate and complete registration information
- Maintain the security of your account credentials
- Notify us immediately at hello@salonhub.co.za if you suspect unauthorised access
You are responsible for all activity that occurs under your account. One account corresponds to one salon. Additional salons require separate registrations.
4. Free trial
New accounts receive a 14-day free trial with full access to all platform features. No credit card is required to start the trial.
At the end of the trial period, your account will be suspended unless you subscribe. Your data is retained for 30 days after suspension. We will send reminder emails before your trial expires.
5. Subscription & billing
5.1 Pricing
The Platform is offered at R399 per salon per month (VAT inclusive where applicable). Pricing may change with 30 days’ written notice to existing subscribers.
5.2 Payment
Payments are processed monthly via PayFast, a South African payment gateway. By subscribing, you authorise PayFast to charge your selected payment method on a recurring monthly basis.
5.3 Cancellation
You may cancel your subscription at any time by contacting us at hello@salonhub.co.za. Cancellations take effect at the end of the current billing period. No partial refunds are issued for unused days in a billing month.
5.4 Failed payments
If a payment fails, we will retry and notify you by email. Accounts with outstanding payments will be suspended after 7 days. Access is restored immediately upon successful payment.
6. Acceptable use
You agree not to use the Platform to:
- Violate any applicable South African law or regulation
- Send unsolicited bulk communications (spam) to clients
- Store or transmit unlawful, defamatory, or fraudulent content
- Reverse-engineer, decompile, or attempt to extract source code
- Resell, sublicense or transfer access to the Platform to third parties
- Use automated tools to scrape or harvest data from the Platform
We reserve the right to suspend accounts that violate these provisions without notice.
7. Client data & POPIA
As a salon owner using SalonHub, you act as the responsible party for the personal information of your clients collected through the Platform. SalonHub acts as the operator processing this data on your behalf.
You agree to:
- Comply with POPIA in respect of your clients’ personal information
- Only use WhatsApp and SMS reminders for legitimate booking-related communications
- Inform your clients that their data is processed through SalonHub
- Not upload personal data of individuals who have not consented to its collection
8. Intellectual property
SalonHub and all associated software, design, trademarks, and content are the exclusive property of SalonHub. Nothing in these Terms grants you any ownership rights in the Platform.
You retain ownership of all data you upload to the Platform (salon information, client records, booking data). You grant SalonHub a limited licence to store and process this data solely for the purpose of providing the service.
9. Service availability
We aim for 99.5% monthly uptime but do not guarantee uninterrupted access. Planned maintenance will be communicated in advance. We are not liable for downtime caused by third-party services (Google Cloud, PayFast, Meta, Twilio) or circumstances beyond our reasonable control.
10. Limitation of liability
To the maximum extent permitted by South African law, SalonHub’s total liability for any claim arising from use of the Platform is limited to the amount you paid in subscription fees in the 3 months preceding the claim.
SalonHub is not liable for any indirect, incidental, or consequential damages including loss of revenue, clients, or bookings arising from Platform downtime, data loss, or errors in notifications.
11. Termination
Either party may terminate these Terms at any time. You may terminate by cancelling your subscription. We may terminate your account for material breach of these Terms, non-payment, or illegal use.
Upon termination, your right to access the Platform ceases immediately. We will provide a data export on request within 30 days of termination.
12. Governing law & disputes
These Terms are governed by the laws of the Republic of South Africa. Any dispute that cannot be resolved informally will be referred to the jurisdiction of the South African courts. We encourage users to contact us first to resolve any issues amicably.
13. Changes to these terms
We may update these Terms from time to time. Material changes will be notified via email and a banner on the Platform at least 14 days before taking effect. Continued use after the effective date constitutes acceptance.
